    • Manage the sign-in and out portal.
    • Answer and direct phone calls, emails, and enquires in a timely manner.
    • Maintain a tidy and organised reception area.
    • Uphold Health and Safety regulations.
    • Monitor the Absence and Info email inboxes regularly throughout the shift, responding as required.

    Client Interaction

    • Act as first point of contact for clients interested in educational services.
    • Provide information about services, fees, and processes to potential clients.
    • Schedule and organise consultations between clients, tutors and management.
    • Take responsibility for own actions including workload and time management.
    • Respond to student cancellations, absences, and sickness, ensuring TutorBird is updated and tutors informed.
    • Communicate any actions or concerns promptly to the relevant team member, adhering to the hierarchy flow chart to ensure matters are managed efficiently and appropriately.
    • Pass details of private enquires to the afternoon receptionist or Wise Owl receptionist as appropriate.

    Administrative Support

    • Manage and maintain client and tutor profiles on TutorBird in line with GDPR, ensuring all records are accurate and up to date.
    • Manage own case load as directed.

    • Coordinate schedule changes, ensuring all parties are promptly informed.

    Safeguarding

    • Follow safeguarding procedures as outlined in the Safeguarding Policy.
    • Keep up to date with assigned safeguarding training.
    • Support staff by contacting relevant people if a student needs to leave.
    • Ensure students only leave with nominated pick-up persons, where appropriate.

    Other Duties

    • Maintain accountability for petty cash in line with the Petty Cash Policy. This is a shared duty across all staff members.
    • Assist with general office tasks as required.
    • Participate in team meetings and contribute ideas.
    • Provide support to other departments as needed.
    • Operate premises access including parking as relevant.
    • Act as a point of contact between tutors and parents/guardians.
    • Respond to manager requests as appropriate.

    • Coordinate student planning under the direction of Lead receptionist, from initial contact to starting lessons, including fact-finding, liaising with parents/tutors, organising paperwork and finance, booking consultations and timetabling.
    • Send out the Contact and Consent document using DocuSign and upload to TB once returned.
